Adding New Item Master Data

Note: If your ERP system manages your stock, all item master data should be entered into your ERP system and not in .wms.

Depending on the type of new item you are adding to your item master data records, choose the appropriate tracking option or combination of available options. Any tracking option enables you to track your inventory and track how and to whom items were sold.

  1. Log in to .wms webUI.

  2. Click Stock on the top navigation bar then select Item Master Data from the drop-down menu.

    The Stock - Item Master Data page displays.

  3. Click Add Item.

    The Add Item dialog box displays.

  4. Field

    Description

    Tenant

    Select the tenant from the drop-down list, who has this item as part of their inventory.

    Item Code

    Enter a unique identifier for the new item.

    The item code cannot be changed once it is entered.

    Item Group

    Enter the name of the group the item has been assigned to, if needed.

    Leave the field blank if item groups are not used.

    Item Name

    Enter the name of the item.

    A maximum of 45 characters can be used for the item name.

    Is Active

    Tick the checkbox for the status of the item to be active after it is created.

    Leave the checkbox unticked for the item to be inactive after it is created and activated at a future date.

    Number of cartons for shipment in AutoConsignment mode

    Enter a number for shipment cartons, if needed.

    AutoConsignment mode must enabled in your system parameters for this field to be displayed. If AutoConsignment is enabled make sure to set the Pack Method as AutoConsignment.

    When AutoConsignment mode is in use, an operator is not prompted to enter the number of cartons, or to scan and verify the items being packed.

    Dangerous Goods

    Tick the checkbox, if the new item is classified as dangerous.

    Leave the checkbox unticked, if the new item is not classified as dangerous.

    If the checkbox is ticked, a number of associated fields display for you to enter specific details of the dangerous item:

    • Enter the Proper Shipping Name.
    • Enter the Technical Name of the item.
    • Enter the dangerous item's Class.
    • Enter the dangerous item's SubClass.
    • Enter the UN Number for the dangerous good. This is a 4-digit number that identifies the item in terms of international transport.
    • Enter the Hazchem Code for the dangerous item.
    • Enter the Packing Group name of the dangerous item.
    • Enter the Aggregate Quantity for the item.
    • Enter the Aggregate Quantity UOM for the item. For example, if the item is a battery, the unit of measure can be Watt Hour. Litre and kilograms are other valid units of measure.

    Non-Shipping Item

    Tick the checkbox, if the item is not to be shipped.

    Leave the checkbox unticked, for the new item to be shipped.

    Non-Inventory Item

    Tick the checkbox for this new item to be a non-inventory item.

    Leave the checkbox unticked, for the new item to be an inventory item.

    Auto Pick/Pack Item

    Tick the checkbox for this new item to be picked by an autonomous mobile robot.

    Leave the checkbox unticked for this new item not to be picked by an autonomous mobile robot.

    Serial Tracking

    This allows you to track items using their serial number on shipment or receipt.

    Track Serial on Shipment

    Tick the checkbox to track the serial numbers on receipt or the shipment of the item.

    Leave the checkbox unticked to not track the item.

    Serial Number Mask

    Optionally, enter a Perl-compatible regular expression for a serial number mask that use a regular expression for verification.

    Batch Code Tracking

    Track Batch Code on Shipment

    Tick the checkbox to track batch numbers on receipt or shipment of the item.

    Leave the checkbox unticked to not track the item.

    Batch Number Mask

    Optionally, enter a Perl-compatible regular expression for a batch number mask that will use a regular expression for verification.

    Best Before Date Tracking

    Track Best Before Date on Shipment

    Tick the checkbox to track the item's best before date.

    Leave the checkbox unticked to not track the item.

    Track Best Before Date on Receipt

    Expiry Date Tracking

    Track Expiry Date on Shipment

    Tick the checkbox to track the item's expiry date.

    Leave the checkbox unticked to not track the item.

    Production Date Tracking

    Track Production Date on Shipment

    Tick the checkbox to track the item's production date.

    Leave the checkbox unticked to not track the item.

    Packaging Date Tracking

    Tick the checkbox to track the item's packaging date.

    Leave the checkbox unticked to not track the item.

    Sell By Date Tracking

    Tick the checkbox to track the item's sell by date.

    Leave the checkbox unticked to not track the item.

    Stock Unit

    Enter the unit of measure of how the item is sold.

    For example, as a single item, box, carton, bundle, etc.

    Item Attributes

    Enter the details for any listed optional custom fields that are relevant to the item.

    Manufacturing

    Default Expiry Days

    Enter the number of default days in which the item expires.

    Leave the field blank, if the item does not have an expiry date.

    Trade Units

    With trade units you can specify the different units of measure / packaging sizes of an item that can be stored and sold.

    Enter the barcodes for the different units of measure in which the item can be sold.

    Dimension Measurement

    Select the default unit of measure from the drop-down list for dimensions of this item.

    You will only be able to make a selection if the system parameters are enabled for different units of measurement - metric and imperial. Otherwise, this field will not be visible and you automatically use the default system measurements.

    Weight Measurement

    Select the default unit of measure from the drop-down list for the weight of this item.

    You will only be able to make a selection if the system parameters are enabled for different units of measurement - metric and imperial. Otherwise, this field will not be visible and you automatically use the default system measurements.

    Barcode/GTIN

    Enter the item's barcode or GTIN.

    This is a unique barcode that relates to an item being sold in a particular trade unit.

    Unit Quantity

    Enter the unit quantity of the item.

    Trade Item Type

    Select the appropriate option from the drop-down list.

    This is a description for the unit of measure size.

    Dimensions and Weight

    Enter the item's dimensions and weight.

    Packaging

    Select the appropriate option from the drop-down list for how the item is packaged.

    Pallet Ti

    Enter the number of units for the tiling carton quantity. This is also known as the quantity on each layer.

    For example, on a single pallet there can be 4 cartons on each layer. So there is 4 units on each layer of the pallet.

    Pallet Hi

    Enter the tiling height of the pallet. That is, how many boxes high.

    Add Trade Unit

    Click to add more trade units for the item.

    Repeat adding the information for the different barcode of the item.

    Delete Trade Unit

    Click to delete a trade unit for the item.

    Click to update the dimensions of the item by extracting data from a configured Dimensioner / scales.

    Click to delete a trade unit for the item.

    Warehouse Settings

    For each warehouse where this new item will be stored, enter the:

    • minimum quantity of the item held at the pickface.
    • maximum quantity of the item held at the pickface.
    • quantity of the item to be held in a fixed bin.
    • cycle count frequency at pick locations in hours. That is how often bin locations with a bin type of picking must be counted.
    • cycle count frequency at bulk locations in hours. That is how often bin locations with a bin type of bulk must be counted.
    • countback frequency in hours.

  5. Click Save.
